Conference calls have a huge amount of potential and utility, and can be an ideal solution in many different circumstances. Winter is one of these, as it is a time when both weather and festivities can make going into work difficult and unappealing. With teleconferencing you can remove the need to battle treacherous conditions to attend a meeting.

During the winter months, the weather can become bitterly cold – particularly in some areas. On 1st July 2015 there was a significant change to the way you’re billed for calling numbers that begin with 084, 087, 09 or 118. These numbers, known as ‘service numbers‘ are used by companies of all types. Some conference call providers for example, use an 084 or 087 dial in number (although we certainly don’t – because we want you to be able to make conference calls for free!)

Conference calling is happening in all areas of life, and is not just reserved for the business world. Think about it; whatever it is you do, you can probably benefit from using a conference call every now and then to improve communication around your job, passion or hobby. But this shouldn’t mean you have to spend a great deal of money to keep in the loop. In fact, conference calls can be placed at absolutely no charge – as long as you know which conference call bridge to use.

Some companies claim to offer free teleconferencing, and then slip hidden costs in anywhere possible. Users of these so called “free” conferencing services can find themselves confused after receiving a large phone bill, all because they were using a premium rate number to dial in (see our article on how to avoid these tricks). If you see that the dial-in to a conference call uses premium rate numbers, you can expect to incur costs, and possibly very high ones.

5 ways to avoid conference call disaster

Conference calls have the potential to have awkward hiccoughs and even become disastrous, if used by people who have not properly researched conference calling and have little experience. Below are ­­­­5 ways to ensure you have a smooth teleconference experience.

1. Schedule in advance

Before you even start the call, make sure that you send clear invitations, with start and end times, as well as the PIN number and conference room number participants will need to access the call. Some teleconference providers can do this all for you, sending out automatic email invitations to your desired participants, and even creating a calendar attachment. This way, you avoid the problems that come with a participant forgetting about the call, or joining late because of confusion regarding the call’s start time. It also means people should not have difficulty in gaining access to the call, as the numbers they need are stored for them. And not only will you help ensure all the necessary people are present in the call, but by giving them an idea of when the call will end, you raise your chances of them creating enough time to stay for the entirety of the call’s duration.
